What we collect

When you submit the contact form on reyesreputation.com, we collect:

  • Email address — required, so we can respond to you.
  • Company name — required, so we know who's asking.
  • Your question — required, so we can prepare a useful response.
  • Optional: first name and role — helps us personalize the reply.
  • UTM parameters (utm_source, utm_medium, utm_campaign) — captured from the URL if present, so we know which marketing channel sent you.
  • Referrer URL and current page path — captured automatically from your browser.
  • An IP-derived identifier — we hash your IP address with a rotating salt (SHA-256) and store only the hash, used solely for rate-limiting (preventing spam submissions). The hash is one-way; we cannot recover your IP from it.

What we don't collect

  • We do not store your raw IP address.
  • We do not use device fingerprinting, third-party analytics tags (Google Analytics, Meta Pixel, etc.), or behavioral retargeting cookies.
  • We do not sell, share, or trade your information with anyone outside the third-party services explicitly listed below.

How we use it

  • To respond to your contact-form message — within one business day.
  • To send you up to one quarterly update with relevant reputation-strategy thinking. You can opt out of updates at any time (see below).
  • To detect and block automated abuse of the contact form (the IP-hash + Cloudflare Turnstile challenge gate).

How long we keep it

  • Contact-form submissions — retained for 90 days in our Cloudflare D1 database by default. Submissions you've responded to are kept longer if needed for an active engagement.
  • If we move to a CRM (HubSpot or Airtable) for managing leads at higher volume, your record transfers there and follows that platform's retention policies. We'll update this page when that change happens.
  • If you opt out, we mark your record suppressed within 24 hours and stop sending emails. The historical record stays for legal/audit purposes (CAN-SPAM, anti-fraud) but is excluded from future outreach.

Third-party services we use

We rely on a small set of well-known providers to operate the site. Each has its own privacy policy:

  • Cloudflare — DNS, hosting (Pages), database (D1), rate-limit storage (KV), and bot challenge (Turnstile). Cloudflare's privacy policy →
  • Resend — transactional email delivery (the confirmation email you receive after submitting the form). Resend's privacy policy →
  • Cal.com — embedded booking calendar. If you book a discovery call through the embed, your name and email are stored by Cal.com under their terms. Cal.com's privacy policy →

We do not embed any other third-party scripts (no Google Analytics, no Meta Pixel, no LinkedIn Insight Tag, no advertising trackers).

Your rights — opt-out, access, deletion

  • Opt out of emails — reply to any email from us with the word unsubscribe. We'll suppress further emails within 24 hours.
  • See what we have — email adriana@reyesreputation.com and we'll send you a copy of the record we hold for you, typically within 5 business days.
  • Request deletion — same email address. We'll delete your record within 30 days, except where we're required to retain a minimal log for anti-fraud or legal compliance (e.g., proof we honored an unsubscribe request).

Compliance disclosures

  • CAN-SPAM Act (US) — every commercial email we send identifies the sender, includes a working opt-out, includes our physical address, and uses a non-deceptive subject line. The address shown in our footers and emails is the registered LLC business address.
  • FTC fake-review rule (April 2024) — we do not generate, broker, or facilitate fake reviews under any circumstance. See our service page for the full "What we don't do" list.
  • State privacy laws — our default practice (don't sell, don't track behaviorally, support deletion requests) is intended to satisfy state privacy frameworks including TDPSA (Texas), CCPA (California), and equivalents. If you're in a jurisdiction with additional rights, contact us and we'll work with you.

Jurisdiction

Reyes Reputation Strategy LLC is registered in Texas. This policy is governed by Texas law. Disputes, if they arise, will be resolved under Texas jurisdiction.

Changes to this policy

If we materially change what we collect or how we use it, we'll update this page and bump the "Last updated" date at the top. For substantial changes (e.g., a new third-party service, a new retention practice), we'll also email people who have given us their address.
